Paying for Nanome by purchase order starts with a quote from support@nanome.ai, the route the academic license update lays out. The institution sends back a PO, and Nanome invoices in US dollars, due within 30 days of the invoice date under the Nanome License Agreement. Card subscriptions renew each year under the Terms of Service. A request to support@nanome.ai from the account's address, sent before the renewal date, turns off renewal or cancels the subscription. The Cancel button on a subscription in the web app's Billing page also works, though its confirmation warns that premium features go right away.
Two Nanome addresses do the billing work. The Select plan button on the pricing page opens checkout in the web app at app.nanome.ai, which became the new front door to Nanome in April 2026. The web app's Billing page lists subscriptions, invoices and receipts. The help center's license and invoice guides start at home.nanome.ai, the License Management link in the same page's menu.
Card or purchase order
The pricing page splits plans by how they're bought. An Academic Classroom / Personal seat has a Select plan button and goes through card checkout. Academic Department, with its 50-license minimum, and both Commercial plans carry a Contact us button and go through a quote.
| Path | Plans | Payment | Where it starts |
|---|---|---|---|
| Card at checkout | Academic Classroom / Personal, billed annually | Charged to the card in advance and renewed automatically under the Terms of Service | Select plan on the pricing page, then checkout at app.nanome.ai |
| Quote and purchase order | Academic Department, Commercial Cloud and Enterprise, and group orders of Academic seats | Invoiced in USD, due 30 days from the invoice date unless the PO says otherwise, per the License Agreement | support@nanome.ai, or the quote form at app.nanome.ai/quote |
| Through a partner | Customers in Japan | Arranged with the partner | Fujitsu, as listed on the pricing page |
Paying by purchase order, step by step
- Requesting a quote. An email to support@nanome.ai with the institution, the requester's role, the use case and the seat count brings back a quote PDF with each line item broken out, per the academic license update. The Nanome FAQ suggests naming a license administrator account in the request: one account, either the requester's own or one the lab or department maintains, that owns every license and assigns them to users.
- Adding billing details. The License Agreement makes the customer responsible for complete and accurate billing and contact information, so the institution's legal name, billing address, tax or VAT ID and PO or grant number belong in the same thread.
- Sending the PO. The agreement counts a customer purchase order as part of the order form. Terms and conditions in a PO have no effect under it, apart from the order details themselves: software, price, license count, subscription term and delivery date.
- Paying the invoice. Fees are invoiced in advance and payable in US dollars. The default is 30 calendar days from the invoice date, unless the PO or a statement of work sets another term.
Tax and currency
The License Agreement quotes fees in US dollars and excludes sales tax, use tax and VAT, which fall to the customer where they apply. Card purchases sit under the Terms of Service, which let Nanome charge any use or sales tax that applies and ask for an address to work it out.
When an institution's billing details change, the agreement asks the customer to let Nanome know. Notices go to support@nanome.ai, the address it names.
Paperwork for supplier setup
A new supplier often needs a few documents on file before a PO can go out. Requests for any of these go to support@nanome.ai, the address the License Agreement names for notices to Nanome, with the institution's own form or portal invitation attached.
| Document | Who usually asks for it | What to send with the request |
|---|---|---|
| W-9 | US accounts-payable offices, before a first payment | The quote or PO number |
| Certificate of insurance | Procurement or risk offices, sometimes with coverage minimums | The institution's insurance requirements |
| Bank letter | Accounts payable, before a first wire transfer | The AP team's own form, if it has one |
| Supplier or security questionnaire | Procurement, IT security or compliance teams | The questionnaire file or link |
| Supplier-portal registration | Universities and companies that onboard vendors through a portal | The portal invitation |
| Beneficial-ownership declaration | Some EU public bodies and institutions | The declaration form |
Downloading invoices and receipts
The Billing page in the web app at app.nanome.ai lists each invoice with a download icon and a link to its receipt. The invoice guide covers the same task at home.nanome.ai: Billing in the left-hand menu, then the cloud button under Invoices. Both start from a sign-in, so the account that made the purchase is the one to sign in to.
Timing a purchase to a fiscal year
Under the License Agreement, the License Term and delivery date come from the order form, so the quote and PO are where dates that line up with a budget year get set. Licenses added partway through a term are charged at a prorated rate for the time left, which keeps new seats on the existing renewal date.
A quote requested a few weeks before the fiscal year closes leaves room for the PO to clear.
How renewal works
The Terms of Service cover card subscriptions in a section titled Billing; Payment; Automatic Renewal. Each recurring payment is charged to the card on file, and continuing to use the subscription reaffirms that authorization.
Academic seats are priced per year and billed annually on the pricing page, and the web app's checkout calls the Classroom / Personal seat a yearly recurring subscription. Each subscription's page under Billing shows its next invoice date.
A license bought on a quote runs for the term on its order form. Renewal quotes, co-terming and how older licenses map to today's seat types are covered in how much Nanome costs.
Turning off auto-renewal or cancelling
A card subscription can be cancelled in the web app: Billing, then the subscription, then Cancel. The confirmation asks for a reason and warns that cancelling today removes the premium features the subscription unlocked, and that this can't be undone.
Requests to turn off renewal or cancel can also go to support@nanome.ai, the address the License Agreement names for notices to Nanome. A request sent from the account's email address, or naming it, that says which subscription it covers and when it should end gives support what it needs to find the account. Sending it well before the renewal date leaves time for questions, such as when access will end.
For a license bought on a quote, the same agreement makes payment obligations under the order form non-cancelable. Notice that it shouldn't be renewed goes to support@nanome.ai before the term on the order form ends.
After cancelling
When a License Term ends, the License Agreement ends access to the licensed software, and the Terms of Service allow Nanome to delete uploaded content once a License Term expires. The free Starter seat on the pricing page keeps web visualization going with 3 workspaces, 1 project and 50 MARA credits, and it holds only the latest 5 files and a week of chat history.
Which workspaces and files stay on a particular account after that is a question for the same email to support. The FAQ also handles GDPR requests for a copy of account data, or its deletion, through support@nanome.ai, and notes the manual process takes 2 to 3 weeks.
Changing the seat count
Adding seats partway through a term is prorated, per the License Agreement. Moving a seat from one person to another needs no purchase at all. The Licenses page at home.nanome.ai has Assign Users for adding someone by email and a cross for unassigning, as the licenses guide shows.
Licenses appear in that Licenses section once they're allocated, according to the FAQ, so it's the place to check what an account holds before asking for a change. Requests to lower the seat count go to support@nanome.ai.
Refunds
The Terms of Service treat purchases as payable in advance and final, except where the terms provide otherwise, and the License Agreement says the same of fees paid under an order form. Refund requests go to support@nanome.ai with the account email and the date of the charge.
FAQ
Is there a minimum contract?
Academic seats are priced per year and billed annually on the pricing page, and the Department plan has a 50-license minimum. Commercial plans are scoped in a quote.
What if the person who placed the order has left, or the account email no longer works?
The FAQ suggests buying from a license administrator account, which can be one the lab or department maintains together. That account owns the licenses and can reassign them to other users. For an order tied to a personal account, the request goes to support@nanome.ai with the invoice or quote number.
Where are Nanome's terms?
nanome.ai/terms links the Terms of Service, which cover card subscriptions, and the Nanome License Agreement, which covers order forms, invoices and payment terms, alongside the privacy policies.
Does the free trial need a card?
No. The pricing page gives every new account a 14-day Full license trial and says no credit card is required.
